The GMU MIS 491 team provided Valencor with recommendations and a path forward on how they can make their internal operations more efficient. The Client's Needs included a solution that will automate a workflow-driven process for document tracking; be deployable in a GCC high environment; allow functionalities such as email notifications, role-based user activities, contract approvals, metadata input, and audit logs; and also allow access to a minimum of 10 users. The GMU MIS 491 Solution / Recommendation Delivery included a solution proposal, demonstration, and implementation plan of eFileCabinet’s Rubex to be deployed in Valencor’s private cloud which allows control for document tracking, creates automated workflows, and organizes audit logs for multiple activities - potentially automating a once 20-40 minute process down to 5 minutes.

"The student team working Business Operations requirements for Valencor conducted analysis to support a buy-versus-build decision for an extensible, workflow driven system to automate collaboration and coordination of business documents. The project presented three challenges. As a new start up, Valencor was in the process of establishing practices in this area, and did not have a set of process documents, so the team had to work through business process analysis with little initial context. Secondly, a new cybersecurity requirement for US Department of Defense (DoD) contractors to handle government generated Controlled Unclassified Information (CUI) in the Government Community Cloud High (GCC High) environment complicated research, as most commercial companies with business operations solutions were not yet compliant. Finally, the Valencor team had successfully built similar, large scale workflow collaboration systems for DoD, so had an initial bias toward developing the solution in house. The team worked through all the issues, and found an economical, turnkey, third-party solution that met all of our requirements. The team was prepared and engaged during every discussion, and demonstrated persistence in addressing each challenge along the way, always clearly articulating when they didn’t have an answer and needed to do more research. Their final product was detailed, thorough, and professionally presented — we will be following up on their recommendations. It was a privilege to work with such high caliber students!"
